Zoho CRM — automated lead response

The phase-two layer we flagged on the call: once the department is generating demand, never let an inbound lead sit. Here's exactly how it wires up.

The loop

Lead arrives in Zoho. A form fill, a reply, a chat — Zoho creates the Lead record.

Zoho fires a webhook to our endpoint the instant the lead is created (Zoho CRM "Workflow Rule → Webhook", or Zoho Flow for no-code).

The engine drafts a reply — the email role writes a tailored response using the lead's name, what they asked, and the business's voice and offers (the same profile captured at onboarding).

Human approves — the draft lands in an approval queue. Outbound never sends without a person's OK. This is our existing email gate, unchanged.

Send & log back. On approval it sends, then writes the activity (and a follow-up task) back onto the Zoho Lead via the CRM API — so the rep sees the full thread.
Speed promise: a lead can get a thoughtful, on-brand first reply in minutes — with a human still in control of every send.
